Acceptance of Our Terms and Conditions

By making a reservation with Authentic Rinjani whether through our website, email, WhatsApp, social media, or in person you acknowledge that you have read, understood, and accepted our Terms and Conditions.

Your participation in any of our trekking packages or services signifies your full agreement with the policies outlined in this document.

These Terms & Conditions are designed to create a safe, transparent, and enjoyable experience for you, while ensuring smooth coordination for your Mount Rinjani adventure.

At Authentic Rinjani, we are committed to delivering exceptional service, and accepting this agreement is the first step in preparing a seamless journey tailored for you.

Modification of Our Terms and Conditions

At Authentic Rinjani, we constantly strive to improve our services and deliver the highest-quality trekking experience.
To support this commitment, we reserve the right to update, revise, or modify these Terms and Conditions at any time, without prior notice.

We encourage you to review our Terms periodically so you remain informed of any changes. Staying updated ensures that you always have the most accurate information and can enjoy your adventure with complete confidence.

Your safety, satisfaction, and overall experience are our top priorities. Any updates to our policies are made with the purpose of enhancing your journey and ensuring that every trek with Authentic Rinjani is unforgettable.

1. Initial Deposit

To confirm your reservation for any trekking package with Authentic Rinjani Trekking, a non-refundable initial deposit is required. The deposit percentage varies depending on the selected service level:

25% – Premium Service
20% – Deluxe Service
20% – Standard Service

Payments can be made via Bank Transfer, Wise Transfer, Revolut, or PayPal.
Please note: PayPal transactions include a 4.5% processing fee.

By completing your reservation, you confirm that you have read, understood, and accepted our Terms & Conditions

2. Reservation Confirmation

Your booking is officially confirmed once:

1. We receive your full personal details, and
2. Your required deposit has been successfully verified.

At that moment, a legally binding agreement between you and Authentic Rinjani Trekking is established, ensuring your spot for the upcoming Mount Rinjani adventure.

3. Shared Responsibility

All individuals included in the booking are jointly responsible for the agreement.
The person making the reservation acts on behalf of every participant listed, ensuring that all members are informed of and agree to our Terms & Conditions.

4. Required Information for Registration

Along with your deposit, please provide the following details to process the Mount Rinjani National Park entrance permit and secure your trekking experience:

These details are mandatory to issue your trekking permit and finalize your booking with Authentic Rinjani Trekking.

At Authentic Rinjani Trekking, we aim to make your payment experience as smooth and reliable as your adventure. Please review the following payment policies to ensure a clear and transparent booking process.

1. Accepted Payment Methods

We accept the following payment options for both the initial deposit and the final balance:

Cash

Bank Transfer / Wise Transfer

Revolut

PayPal (4.5% processing fee applies)

Important:
No participant may begin the trek without fully settling the total payment.

2. Final Payment

The remaining balance must be paid one day before the trek or upon arrival at our office during the briefing session, using any of the following:

Cash
Bank Transfer / Wise Transfer (transaction fee may vary based on the bank)
PayPal (4.5% fee applies)
Card (4% fee applies)

3. Cash Payments

If you prefer to pay in cash, please ensure payment is completed during your briefing session at our office, at least one day before the trek.

Note:
We cannot accept torn, damaged, or defaced currency, even with minor imperfections.

4. Bank & Transfer Fees

All bank charges, transfer fees, currency conversion fees, or other transaction costs are the responsibility of the customer.
Please ensure your payment covers all associated fees so the exact amount is received on our end.

5. Initial Deposit Policy

Your initial deposit is 100% non-refundable and non-transferable under all circumstances, including medical emergencies.
We do not accept medical notes or any form of documentation as justification for a refund.

Why the deposit is non-refundable?

Once you reserve a trek, your deposit is immediately used to secure:

Mount Rinjani National Park permits
Entrance tickets
Pre-Hike Accomodation
Local porter and guide scheduling

These costs are non-refundable for us; therefore, we are unable to offer exceptions.

6. Important Reminder

We encourage you to carefully review all booking and payment policies before confirming your reservation.

We understand that plans can change, and we aim to support you as much as possible. Please review our date change policy below:

1. First Date Change – Allowed Once

If you need to reschedule your trek, you are allowed one (1) date change to the next available date, subject to the following conditions:

  1. The new date must still have available Mount Rinjani National Park entrance permits.
  2. If the desired date is fully booked, you must select another date.

Important:
If your new chosen date has no available permits, you will be required to purchase a new entrance permit, as permits are controlled and issued by the National Park authority.

2. Second Date Change – Penalty Applies

If you request a second date change, the following penalty will apply:

IDR 250,000 per hiking day (example: a 3D2N trek = 3 hiking days → penalty IDR 750,000)

This penalty is not charged by Authentic Rinjani, but is required to purchase new National Park entrance tickets, because:

* The original permits issued for your first and second dates cannot be reused,
* All Rinjani entrance tickets are non-refundable, non-transferable, and tied to specific dates.

3. Why This Policy Exists

At Authentic Rinjani Trekking, we want to offer flexibility while staying transparent and fair.
However, Mount Rinjani National Park strictly controls permit availability, and once permits are issued:

* They cannot be refunded
* They cannot be resold
* They cannot be changed without purchasing new ones

This is why penalties apply for multiple date changes.

At Authentic Rinjani Trekking, we understand that unexpected situations can occur. To ensure complete transparency, we kindly ask you to carefully read our cancellation policies before confirming your booking.

1. Cancellation Request

All cancellation requests must be submitted directly to your Authentic Rinjani sales representative via email or WhatsApp, by the same person who made the original reservation and deposit.

Please note:

* Once confirmed, bookings are non-refundable if canceled for personal reasons—including changes in personal plans, relationship issues, work conflicts, or any other personal circumstance.
* Please ensure your schedule is secure before confirming your booking.

*  The package price may be adjusted depending on group size or other changes.

2. Cancellation Fees

* Cancellation more than 24 hours before the trip

✅ No cancellation fee will be applied
(However, the initial deposit remains 100% non-refundable.)

* Cancellation within 24 hours before the trip

⚠️ A fee of 50% of the total trip cost will apply.

* Cancellation on the day of the trip

❌ A fee of 100% of the total trip cost will apply.

3. Additional Important Considerations

A. Cancellation or Early Termination During the Trek

If you decide to stop or withdraw after the trek has started:

* ❌ No refund will be issued.
* The client is responsible for any additional costs (transportation, accommodation, meals, etc.).

If you are unable to start or continue the trek due to illness, altitude sickness, injury, or other physical reasons:

* ❌ No refund will be issued.
* You will be responsible for all additional expenses after leaving the group.

B. Natural Disasters & Unforeseen Circumstances (Force Majeure)

If Mount Rinjani National Park is closed or the itinerary is affected due to:

* Natural disasters (earthquake, landslide, forest fire, volcanic activity)
* Extreme weather
* Government restrictions
* National Park closures
* Other events beyond our control

Authentic Rinjani reserves the right to modify, postpone, or cancel the trek for safety reasons.

In such cases:

* ❌ Refunds will not be issued
* ✔️ Clients will receive an open date voucher to reschedule to another available date

Your safety is always our top priority.

C. Pandemics or Global Emergencies

If a pandemic or global event prevents us from operating the trip:

* ❌ No refund will be issued
* ✔️ We will provide an open-date credit for future rescheduling (subject to availability)

D. Absences / No-Show Policies

* Failure to attend the pre-trek briefing = No-show
* Failure to appear on the trek start date = No-show
* No-show results in:

* ❌ 100% cancellation charge
* ❌ No refunds for unused or omitted services

E. Omitted Services

No refunds will be provided for:

* Unused services
* Skipped meals
* Shortened itinerary by personal choice
* Early return due to personal reasons

When you book your trekking package with Authentic Rinjani, we secure a personalized entrance permit issued in your name by the Mount Rinjani National Park Authority. This permit is essential for accessing the trekking routes and is subject to strict government regulations.

Please carefully read the following conditions:

1. Non-Transferable Permits

All Mount Rinjani hiking permits are issued individually and cannot be transferred to another person under any circumstances.
Once your permit is created with your personal data, it cannot be reassigned.

2. Non-Refundable Permits

All issued permits are 100% non-refundable.
If you cancel your trek for any personal reason after the permit has been issued:

* ❌ The deposit used to secure your permit will be forfeited
* ❌ No refund is available from the National Park Authority
* ❌ No exceptions can be made

This is a strict regulation imposed by Mount Rinjani National Park.

3. Date Change Policy

After your hiking permit is purchased:

✔️ You may change your trek date once, subject to availability.

❌ A second date change will incur a penalty fee of IDR 200,000 per person per hiking day,

as we must purchase a new hiking permit because:

* The original permit becomes invalid
* Tickets are non-refundable and non-transferable
* The National Park Authority does not allow reusing or modifying previously issued permits

This fee is not charged by Authentic Rinjani, but is required by the Mount Rinjani National Park system.

4. Government Regulations

Please note:

*  These policies are mandated by the Mount Rinjani National Park Authority
*  Authentic Rinjani has no control over the refundability, date change rules, or permit structure
*  We are required to follow all regulations without exceptions

5. Alternative Arrangements in Case of Park Closure

If the Rinjani National Park Authority closes the park due to:

* Natural disasters
* Extreme weather
* Volcanic activity
* Landslides
* Government restrictions
* Any other unforeseen circumstances

Authentic Rinjani will:

✔️ Offer an alternative trekking route or activity of similar value

✔️ Ensure your experience remains meaningful and memorable

❌ Refunds cannot be issued, as permits and operational expenses are non-refundable, Except it refund by Mount Rinjani National Park Authority

1. Pricing

*  All prices are per person
*  Solo travelers may be paired with another trekker of the same gender.
*  If you prefer private camping arrangements (private tent), an additional fee may apply.
*  Prices may vary depending on group size, service level, and seasonal conditions.

2. Orientation & Group Dynamics

By joining a group trek with Authentic Rinjani, you acknowledge that:

*  Trekking pace and timing may vary depending on group abilities.
*  Guides will ensure a reasonable pace so all participants can enjoy the experience safely.
* If you prefer to explore a section independently OR experience any concerns during the trek, inform your guide immediately so we can assist you.

Your cooperation helps maintain group safety and harmony.

3. Transportation & Itinerary

*  All trekking packages include Pick up and return transportation from your hotel to the trekking start point and back.
*  Authentic Rinjani may adjust or modify the itinerary due to:

* Weather conditions
* Park restrictions
* Trail conditions
* Safety considerations
* Unforeseen circumstances

Any changes will be made with your safety as the top priority.

4. Health & Safety on the Mountain

Your well-being is extremely important to us.
Please note the following:

If a participant becomes ill, exhausted, or injured and cannot continue:

*  A porter or assistant guide will escort them safely to a lower altitude or meeting point.
*  Evacuation costs, additional transportation, medical treatment, or accommodation expenses are the responsibility of the client.
*  If you are unable to complete the trek, we will assist you with arrangements to return early, but:

❌ No refund will be issued
✔️ We can provide a medical certificate for insurance claims upon request

We strongly recommend securing travel insurance that covers trekking activities up to 3,726 meters.

5. Responsibilities & Obligations

Authentic Rinjani Responsibilities

We commit to:

* Employing licensed, experienced guides and porters
* Providing safe, high-quality equipment
* Prioritizing safety in all operations
* Ensuring responsible trekking practices (Zero Waste & eco-friendly operations)

However, Authentic Rinjani is not responsible for:

* Extreme or unpredictable weather
* Government park closures
* Natural disasters (earthquake, landslide, volcanic activity, floods, storms, etc.)
* Accidents or health issues beyond our control
* Loss or damage of personal belongings
* Strikes, road closures, or transportation disruptions caused by third parties

Client Responsibilities

Clients must:

* Follow guide instructions at all times
* Supervise personal and rented gear
* Inform us of any medical conditions or allergies before the trek
* Ensure physical readiness for trekking at high altitude

6. Passports & Identification

* All trekkers must provide valid personal details used for the trekking permit (KTP, passport, or other ID).
* Foreign guests must present a passport valid for at least 6 months.
* If you renew your passport after booking, you must send us:

* A copy of the old passport (used for booking)
* A copy of the new passport
* Failure to update your data may cause issues at the National Park entrance gates.

7. Group Size & Language

* Group tours are conducted in English (or Bahasa Indonesia for local guests).
* Maximum group size:

* 5–6 trekkers for Standard, Deluxe
* 7-9 trekkers for budget
* Small groups ensure better safety, comfort, and a more personalized experience.

8. Gratuities (Tips)

Tipping is voluntary in Lombok.
However, our guides and porters work extremely hard:

* Carry heavy loads
* Prepare meals
* Set up camps
* Ensure your safety

Any amount of gratuity is deeply appreciated and supports their families.
We will provide tipping guidelines during your pre-trek briefing.

At Authentic Rinjani Trekking, we are committed to providing a comfortable, safe, and memorable experience for every guest. The following policies outline our accommodation standards and important conditions to ensure your journey is smooth from start to finish.

1. Pre-Trek Hotel Accommodation

These terms apply to the hotel included in your chosen service level (Standard, Deluxe, Premium, or VIP):

Twin Rooms

*  Pre-trek accommodations typically include two single beds with private bathroom facilities.
*  Ideal for friends or trekkers sharing the same booking.

Double Rooms

*  A room with one double bed can be arranged.
*  Please request this during the reservation process to guarantee availability.

Room Upgrades & Special Requests

*  If you wish to upgrade your hotel or extend your stay in Lombok:

*   We can arrange superior or luxury accommodation upon request.
*  Please notify us in advance so we can secure availability.

Single Traveler Policy

*  Solo travelers may be paired with another trekker of the same gender.
*  If you prefer private room accommodation, an additional nightly charge will apply.

Our goal is to ensure you feel comfortable and welcomed throughout your journey.
Please share your room preferences as early as possible.

2. Assumption of Risks

Trekking on Mount Rinjani is an outdoor adventure that involves natural risks such as:

* Weather changes
* Uneven or steep terrain
* Altitude
* Wildlife and insects
* Environmental hazards

By booking a tour with Authentic Rinjani, you acknowledge:

*  You understand and voluntarily accept these inherent risks.
*  You take responsibility for your physical condition and readiness for the trek.

Your safety is our priority, and our guides will always make decisions that protect the well-being of the entire group.

3. Liability

*  Authentic Rinjani Trekking’s maximum financial liability is limited to the total amount paid for your tour.
*  We are not responsible for:

* Accidents or injuries caused by natural conditions or personal negligence
* Loss or damage of personal items
* Delays or interruptions caused by weather, natural disasters, or government regulations
* Liability applies only within the terms explicitly stated in this document.

4. Governing Law

All bookings, services, and potential disputes are governed by Indonesian law, specifically under the legal jurisdiction of Lombok, West Nusa Tenggara.

By using our services, you agree that any legal matters will be resolved within Indonesian courts.

5. Image Use Rights (Photos & Videos)

During your trek, our team may capture photos or videos to document the experience.

By participating in our tours, you grant Authentic Rinjani Trekking the right to use these images for:

* Website content
* Social media
* Brochures or promotional materials

This use does not include financial compensation.

Opt-Out Option

If you do not want your images used:

Please notify us via email before the tour begins so we can respect your privacy.

Your safety and well-being are the highest priority at Authentic Rinjani Trekking. Mount Rinjani is a demanding adventure, and it is essential that every participant understands and complies with our medical, safety, and liability requirements.

1. Mandatory Health Disclosure

When making a booking, all travelers must inform Authentic Rinjani of any existing medical conditions, allergies, ongoing treatments, or other health-related concerns that may affect participation.

This information is kept confidential and is used solely to ensure your safety during the trek.

2. Health & Physical Fitness Requirements

Mount Rinjani trekking involves steep climbs, high altitude, and long hiking hours. Therefore:

* Participants must be in good physical condition and capable of completing strenuous activities.
* Travelers aged 70 and above are required to provide a medical fitness certificate confirming they are suitable for high-altitude trekking.
* If you have doubts about your fitness level, we strongly recommend discussing the trek with your physician.

Authentic Rinjani Trekking does not rovide medical evaluations.

3. Personal Responsibility & Trip Suitability

It is the participant’s responsibility to determine whether the trip is appropriate for their:

* Health condition
* Medical history
* Physical capabilities

We also recommend consulting your doctor regarding:

* Vaccinations
* Recommended medications
* Height-related precautions
* Preventive health measures

4. Participation Rights

Authentic Rinjani Trekking reserves the right to deny or cancel participation if a traveler’s physical or mental condition is determined to:

* Pose a risk to themselves
* Pose a risk to other participants
* Make it unsafe for them to continue the trek

This decision may be made by our guides, management team, or medical personnel if available.

5. Pregnancy Policy

Pregnancy is considered a medical condition that must be disclosed at the time of booking. Due to Rinjani’s physically demanding nature, pregnant travelers may be restricted or declined from joining for safety reasons.

6. Travel Insurance Requirement

We strongly recommend all participants purchase comprehensive travel insurance that covers:

* Medical emergencies
* Evacuation (including helicopter rescue if available)
* Trip cancellations
* Lost or damaged personal items
* Other unexpected travel disruptions

Medical evacuation costs, hospital fees, and other emergency expenses are **the responsibility of the traveler**.
